Brightwheel Platform
We use Brightwheel to manage your scholar’s afterschool experience. Through Brightwheel, parents can:
- Make payments quickly and securely
- Check in and check out their scholar each day
- Receive alerts and notifications about program updates or activities
- Submit drop-in requests for days their scholar is not regularly scheduled

Enrollment Process
Enrolling your scholar is simple and can be done entirely online through Brightwheel.
Steps to Enroll:
1. Create a Brightwheel Account
Parents need an account to access the enrollment form.
2. Complete the Enrollment Form
Provide your scholar’s name, grade, emergency contacts, and any special instructions.
3. Submit the Form
Once submitted, your scholar is officially enrolled in the program.
Important: After enrolling, please upload a clear photo of your scholar to their Brightwheel profile.
- Helps staff quickly identify each scholar during check-in and pick-up
- Improves security and safety, ensuring the right child is released to the right parent or guardian
- Makes daily interactions smoother and helps staff learn all scholars by name and face
Parents can submit the enrollment form anytime, ensuring their scholar has a spot in the program.
Drop-In Care
Brightwheel allows parents to submit Drop-In Requests for days their scholar is not regularly scheduled:
- Each request is submitted through the app
- Parents can submit multiple requests for different days
- Once submitted, your scholar will be scheduled for the requested day
- Notifications are sent to parents and staff to confirm availability
This system keeps everything organized and eliminates the need for calls or texts.
Pick-Up Security & Procedures
Brightwheel helps ensure your scholar’s safety during pick-up:
- Each parent or guardian is assigned a 4-digit PIN in Brightwheel
- This PIN is required for picking up your scholar and can be updated at any time
- Staff will only release scholars to approved guardians with the correct PIN
This makes pick-up fast, secure, and stress-free.
Payments & Billing
Brightwheel manages all payments:
- Tuition and drop-in fees can be paid securely through the app
- Parents can view invoices, track payment history, and set up automatic payments
- No need to handle cash or checks — everything is digital and secure
Alerts & Communication
Stay informed with Brightwheel notifications:
- Receive program updates, reminders, and important alerts directly in the app
- Communicate with staff about attendance, schedule changes, or special requests
- All messages are logged in the app for easy reference
